Terms of Service

Fleet Recon LLC

Effective date: October 14, 2026

These terms govern the website fleetrecon.io (the "Site") and, for customers who subscribe online, the Fleet Recon platform at app.fleetrecon.io (the "Service"). Please read them before using either.

If your organization has a signed Master Subscription Agreement or other written agreement with Fleet Recon, that agreement governs your use of the Service, and these terms govern only your use of the Site. Where they conflict as to the Service, the signed agreement controls.

The short version

  • Fleet Recon LLC, a Colorado company, is the seller. Charges on your statement appear as FLEET RECON LLC
  • New subscriptions start with a 14-day free trial. A card is required at signup, and nothing is charged until day 15
  • You can cancel any time. There is no early-termination fee. Monthly plans run to the end of the paid month; prepaid terms run to the end of the paid term. Unused time is not refunded
  • Your fleet records are yours. Export them any time. If your account ends, we keep your records for 30 days in case you come back, then delete them
  • Fleet Recon is a record-keeping tool, not safety, legal, or insurance advice
  • Colorado law governs

Part 1 · Your subscription

1. Who we are

Fleet Recon LLC is a Colorado limited liability company. We build fleet management and maintenance-tracking software for tour, rental, and adventure-tourism operators. Fleet Recon LLC is the seller and merchant of record for every subscription, and charges appear on your statement as FLEET RECON LLC.

2. Your account

To subscribe, you must be at least 18 and have authority to act for the organization you sign up. You agree to provide accurate information, keep your login credentials confidential, and be responsible for the people you give accounts to. Remove users promptly when they no longer need access.

3. Plans and pricing

Your plan is determined by the size and makeup of your business fleet under our published plan schedule. Adding vehicles can move your plan up; we will tell you before a plan change takes a larger charge.

  • Prices are exclusive of tax. Applicable sales tax is calculated and added at checkout and on each renewal
  • Personal vehicles are free. Vehicles you mark as personal are not part of your billed fleet
  • Your price is protected. If we change published pricing, the change applies to new subscriptions. The price you subscribed at does not go up because the published price did

4. Free trial

New subscriptions include a 14-day free trial. A payment card is required at signup, and nothing is charged during the trial. Your first charge comes on day 15, and we email you 3 days before it. Cancel at any point during the trial and nothing is ever charged.

5. Billing terms

We offer three billing terms:

  • Monthly, billed each month
  • 6-month prepaid, billed once up front: pay for 5 months, get 6
  • Annual prepaid, billed once up front: pay for 10 months, get 12

Billing is processed by Stripe. We never see or store your full card number. You agree to keep a valid payment method on file while subscribed.

6. Cancellation

You can cancel at any time from your billing settings. There is no cancellation fee.

  • During the trial: nothing is ever charged. Your access runs to the end of the trial, then ends
  • Monthly: your plan runs to the end of the month you have paid for, then ends. No further bill
  • 6-month and annual prepaid: your plan runs to the end of the term you have paid for, then ends. Unused months are not refunded

The 14-day free trial is the evaluation period. Beyond it, we do not offer refunds of time already paid for, except where the law requires one.

7. If a payment fails

If a charge fails, Stripe retries it over roughly the next 15 days. If the retries run out, your account becomes read-only: you and your staff can still sign in, view your records, and export your reports, but not create new ones. Updating your card during the read-only period restores full access with everything intact. The read-only period is the 30-day window described in Section 8; if the card is never fixed, deletion follows it.

8. When your account ends

However an account ends, by cancellation or by non-payment, the same clock applies:

  1. Your data stays available to you. You can export your records from Settings at any time while subscribed, and through the 30-day window below. Exporting and keeping your own copy is your responsibility
  2. Your records are kept for 30 days. Come back inside that window and your account is restored intact: fleet, maintenance history, everything
  3. After 30 days, your records are permanently deleted. We email a warning 7 days before deletion. After deletion there is nothing to restore

After deletion we keep a basic contact record only: name, email, phone, company, fleet size, and how the account ended, so we can follow up with you. Your fleet, maintenance, inspection, and guest records are deleted.

9. Your data

  • You own your records. Vehicle, maintenance, inspection, reservation, and related records you enter are your property. We claim no ownership of them
  • We use them only to run the Service: to provide, secure, support, and improve it. We may use aggregated, de-identified data that identifies no customer and no individual for analytics and product development
  • Some records deactivate instead of deleting. Condition and maintenance records document a vehicle at a moment in time, so removing one hides it rather than erasing it. This protects the integrity of your own maintenance history
  • Our Privacy Policy explains our data practices in full
  • The Service, its software, design, and documentation remain the property of Fleet Recon LLC. You receive only the right to use the Service under these terms

10. Acceptable use

Use the Service for your own internal fleet operations only. You may not resell or sublicense it, share access outside your organization, attempt to reach another customer's data, reverse engineer it, probe or test its security without written permission, or use it in violation of law. We may suspend accounts that do.

11. What the Service is, and is not

  • It is a record-keeping and workflow tool. It does not inspect, service, certify, or warrant the condition of any vehicle
  • It records what your people enter. Accuracy depends entirely on correct and prompt entry. It does not connect to vehicles or telematics and does not detect condition, usage, or service needs automatically
  • Intervals and alerts work only where you set them up and keep readings current. You set your own service intervals; we do not set, recommend, or validate them, and we do not apply manufacturer specifications. No indicator, and no absence of one, is a representation that a vehicle is or is not due for service
  • You remain solely responsible for the safety, maintenance, inspection, and fitness of your vehicles, for your staff, and for all operational and customer-facing decisions. Fleet Recon is not responsible for any vehicle failure, accident, injury, or loss arising from the condition or operation of your vehicles, whether or not it was recorded or alerted in the Service

12. Not professional advice

Nothing in the Service or on the Site is legal, insurance, regulatory, safety, or mechanical advice, and nothing here is a representation that using Fleet Recon satisfies any legal, regulatory, or insurance requirement or affects the outcome of any claim or proceeding. Consult qualified professionals.

Part 2 · The website

13. Using the Site

You may view and use the Site for your own informational and business purposes. Don't interfere with its operation or security, scrape it beyond standard search indexing, use it to send unsolicited messages or malicious code, or misrepresent your affiliation with us.

14. Our content and marks

The Site and its contents are owned by Fleet Recon LLC or its licensors. You may quote short excerpts with attribution and link to any page. You may not use our name, logo, or marks to suggest endorsement without written permission.

15. Site information is not a promise

Product descriptions, screenshots, and feature lists describe the product generally; they are not a specification or warranty. Pricing shown on the Site is current published pricing for new subscriptions; your actual price is set at checkout or in a signed agreement. Content may contain errors and may change without notice.

16. Feedback

If you send us ideas or feedback about the product, we may use them without restriction or compensation. Don't send confidential information through the Site.

Part 3 · The legal core

17. Disclaimers

TO THE MAXIMUM EXTENT PERMITTED BY LAW, THE SITE AND THE SERVICE ARE PROVIDED "AS IS" AND "AS AVAILABLE," AND FLEET RECON LLC DISCLAIMS ALL WARRANTIES, EXPRESS OR IMPLIED, INCLUDING MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, TITLE, NON-INFRINGEMENT, AND ACCURACY, AND DOES NOT WARRANT UNINTERRUPTED OR ERROR-FREE OPERATION.

18. Limitation of liability

TO THE MAXIMUM EXTENT PERMITTED BY LAW, NEITHER PARTY IS LIABLE FOR INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, EXEMPLARY, OR PUNITIVE DAMAGES, OR LOST PROFITS, REVENUE, DATA, OR GOODWILL. FLEET RECON LLC'S TOTAL AGGREGATE LIABILITY ARISING OUT OF OR RELATING TO THE SERVICE WILL NOT EXCEED THE AMOUNTS YOU PAID TO FLEET RECON IN THE SIX (6) MONTHS PRECEDING THE CLAIM, AND ITS TOTAL LIABILITY RELATING TO THE SITE WILL NOT EXCEED ONE HUNDRED U.S. DOLLARS ($100). These limits do not apply to your payment obligations or to either party's breach of confidentiality. Some jurisdictions don't allow certain limitations, so parts of this section may not apply to you.

19. Indemnity

You will defend, indemnify, and hold harmless Fleet Recon LLC from claims arising out of the condition or operation of your vehicles, or your use of the Site or Service in violation of these terms or applicable law.

20. Changes to the Service and these terms

We are actively improving the Service, and features and layouts may change. We may update these terms; when we do, the date at the top changes, and for material changes we will notify account holders by email or in-app notice before they take effect. Continued use after the effective date means you accept the updated terms. If you don't, cancel under Section 6 before they take effect.

21. Governing law and venue

Colorado law governs, without regard to conflict-of-laws rules. Disputes will be brought exclusively in the state or federal courts in Denver County, Colorado.

22. General

If a provision is unenforceable, it is limited to the minimum extent necessary and the rest stands. Failure to enforce a provision is not a waiver. These terms, with the Privacy Policy, are the entire agreement regarding the Site and, for online subscriptions, the Service; a signed agreement supersedes them for the Service as described above.
